Our Constitution

  1. This is the constitution for Shuttleworth College Parent Forum Committee.
  2. The objectives of the Parent Forum Committee are:
    1. Represent of all parents and carers in the school community.
    2. Develop, strengthen and maintain relations between the school, parents and the community.
    3. Provide a forum for parents and carers to put forwards their views.
    4. Provide an opportunity to network with and support other parents and carers.
    5. Support the positive ethos and drive the range of activities and opportunities beyond the formal curriculum.
    6. Raise and donate funds for the benefit of the school.
  3. Any parents of a child at the school can volunteer to be a member of the Parent Forum Committee.
  4. The Parent Forum Committee may co-opt up to 10 people to assist it with carrying out its functions. Co-opted members will serve for a period of one year after which time the Parent Forum Committee will review and consider requirements for co-opted membership. The number of parent members of the Parent Forum Committee must always be greater than the number of co-opted members.
  5. The Chair, Secretary and Treasurer of the Council will be agreed by the Parent Forum Committee members immediately following its formation and these positions will be re-elected at each Annual General Meeting.
  6. The Parent Forum Committee is accountable to the Parent Forum for Shuttleworth College and will make a report to it at least once each year on its activities on behalf of all the parents. If 20 members of the Parent Forum request a special general meeting to discuss issues falling within the Committee’s remit, the Parent Forum Committee shall arrange this. The Parent Forum Committee shall give all members of the Forum at least 2 weeks’ notice of the meeting and, at the same time, circulate notice of the matter, or matters, to be discussed at the meeting.
  7. The Annual Meeting will be held in April of each year. A notice of the meeting including date, time and place will be sent to all members of the Parent Forum at least 2 weeks in advance. The meeting will include:
    1. A report on the work of the Parent Forum Committee and its committee(s)
    2. Discussion of issues that members of the Parent Forum may wish to raise
    3. Approval of the Accounts
  8. The Parent Forum Committee will meet at least 6 times per year. The quorum for meetings will be a minimum of three parents in attendance. Should a vote be necessary to make a decision, each parent member at the meeting will have one vote, with the Chair having the casting vote in the event of a tie. Any two members of the Parent Forum Committee can request that an additional meeting be held, and all members of the Parent Forum Committee will be given at least two weeks’ notice of date, time and place of the meeting. If a Parent Forum Committee member acts in a way that is considered by other members to undermine the objectives of the Parent Forum Committee, their membership of the Parent Forum Committee shall be terminated if the majority of parent members agree. Termination of membership would be confirmed in writing to the member.
  9. Copies of the minutes of all meetings will be available to parents of children at Shuttleworth College and to all teachers at the school. Copies will be available from the Secretary of the Parent Forum Committee, the school office and the school website.
  10. Meetings of the Parent Forum Committee shall be open to the public, unless the Parent Forum Committee is discussing an issue which it considers should be dealt with on a confidential basis. In such circumstances, only members of the Parent Forum Committee and the headteacher, or his or her representative, can attend.
  11. The Treasurer will liaise with the School Finance Team in order to keep an accurate record of all income and expenditure and will provide a summary of this for each Parent Forum meeting and a full account for the Annual meeting. The Treasurer role may be filled by either a member of the Parent Forum Committee or a member of the School Finance Team. The Parent Forum Committee shall be responsible for ensuring that all monies are used in accordance with the objectives of the Parent Forum Committee.
  12. The Parent Forum Committee may change its constitution after obtaining consent from members of the Parent Forum. Members of the Parent Forum will be sent a copy of any proposed amendment and given two weeks to respond to the proposal.
  13. Should the Parent Forum Committee cease to exist, any remaining funds will be passed to Shuttleworth College to be used for the benefit of the school, where this continues.
